How to Host/Plan a CCARIN Educational Conference
1. Confirm the location and date with the CCARIN Board.
2. Reserve a conference room/auditorium at the hosting hospital.
3. Obtain six speakers for the conference. Obtain the presentation topic/title, outline, objectives, teaching method, length of presentation, and presenter credentials for each presenter.
4. Arrange catering for breakfast, lunch, afternoon snack and all day coffee/tea/water/sodas.
5. Obtain hotel(s) that will give special room rate for the conference for Friday and Saturday nights.
6. Arrange a meeting room at an area restaurant for the Friday evening dinner business meeting for the CCARIN Board.
7. Provide the CCARIN Secretary all information needed to e-mail/mail the conference brochure and registration form about 2 months ahead of the date to give her time to prepare it.
8. Contact CCARIN Treasurer to decide who will buy goodie bags for each participant, who will buy the candy for the tables, who will buy the door prizes, and who will buy the speakers' gift cards and thank you notes.
9. Get the conference agenda, evaluation forms, presenter handouts, etc. to the CCARIN Secretary so there will be time for her/him to make the packets for each attendee.
10. Application for contact hours from the NCNA must be posted no later that six weeks prior to the conference. Contact the CCARIN Treasurer for the application fee. (Some hospitals will obtain the contact hours for the conferences through their own process.)
11. Send the CCARIN Secretary the approved educational activity number so she/he can put it on the certificates and print.
